What information we collect

We collect information you give us directly, information that flows through Alice App, and some information automatically when you use our website.

Information you give us:

  • Your name and business name
  • Your trade or industry
  • Your suburb or service area
  • Your phone number and email address
  • Any photos, text or content you send us for your website or Alice App

Information collected through Alice App:

  • Bookings, contacts and customer details captured in your workspace
  • Chat and call messages, summaries and transcripts handled by Alice
  • Settings you choose, such as your services, hours and the rules Alice follows

This includes information about your own customers that passes through Alice App. You control that information — it sits in a workspace that belongs to you. FreshTech handles it on your behalf to run the service, and you are responsible for telling your customers how their details are used.

Information collected automatically:

  • Pages visited on freshtechcommunity.com
  • Browser type and device type
  • Approximate location (city level only)
  • How you arrived at our site

We do not collect payment card details directly — payments are processed by Stripe, which has its own privacy policy.

How we use your information

We use your information to:

  • Give you access to Alice App and any modules you turn on
  • Answer enquiries, capture leads, and book jobs through Alice on your behalf
  • Deliver website or domain work where that is agreed separately
  • Contact you via SMS, email or phone about your service
  • Process your payment through Stripe
  • Register a domain name on your behalf where that is part of your service
  • Keep the service secure and improve it over time

We do not sell your information to third parties. We do not use your information for advertising purposes.

SMS and email communications

When you engage with FreshTech Community, you may receive:

  • Messages about setting up and running your Alice App or website
  • Follow-up SMS messages about your service (maximum 3 before we switch to another channel)
  • Welcome and account emails when you become a client
  • Important notices about changes to your service

You can opt out of SMS communications at any time by replying STOP to any message. We comply with the Australian Spam Act 2003.

Who we share your information with

We share limited information with the third-party services we use to run the service:

  • Stripe — Payment processing
  • Domain registrar — Domain name registration, where a domain is part of your service
  • SMS provider — SMS delivery
  • Hosting and AI providers — To run Alice App and process the messages, bookings and content it handles

We only share what these providers need to do their job, and we do not share your information with any other businesses without your consent.

How long we keep your information

  • Active clients: We keep your information for as long as you use the service and for up to 7 years after your account closes, where we need it for legal or tax reasons.
  • Workspace data in Alice App: Your bookings, contacts and transcripts stay in your workspace while your account is active. You can ask us to delete them.
  • Leads who did not become clients: We keep your information for up to 12 months, then delete it.
  • Opted-out contacts: Your contact details are moved to a do-not-contact list and retained only to make sure we do not contact you again.

Your rights

Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to access, correct, or request deletion of your personal information. Contact us at info@freshtech.community. We will respond within a reasonable time, and within 30 days where the APPs require it.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Data security

We take reasonable steps to protect your information from misuse, loss, and unauthorised access. No online service can be guaranteed completely secure, but we use the providers above and sensible controls to keep your data safe.
